How your firm is set up

ProGuard Legal is a multi-tenant system. Each law firm is a fully isolated workspace — its own users, matters, clients, invoices and data. Firms can never see each other's data.

Your firm's workspace

When your firm was created, three things were set up:

  1. A tenant record — the workspace for your firm
  2. A subdomain — e.g. yourfirm.legal.proguardinnovations.com
  3. The first administrator — usually a partner or office manager, responsible for inviting other users

Everything you do in the app is tied to your firm. You log in via your firm's subdomain and only ever see your firm's data.

The shape of your firm in the system

Your firm is organised in the app using three building blocks. An administrator sets these up once from Admin:

  • Departments — e.g. Litigation, Corporate, Tax, Finance, HR
  • Positions — job titles within each department (Partner, Senior Associate, Paralegal, etc.)
  • Users — the actual people, invited by email, each assigned to a department/position and one or more roles

Departments and positions are descriptive; roles are what actually control permissions. See Roles & permissions model.

Firm-wide settings

A firm administrator can configure, from Admin → Settings and the related admin pages:

  • Firm identity — firm name and logo (shown in the sidebar and on the login page)
  • Currencies — supported currencies and conversion rates
  • Practice areas and sectors — used to categorise matters and clients
  • Courts and judges — reference lists used throughout matters
  • Matter types — configure the types of matters your firm handles
  • Custom fields — extra fields on matters, clients, etc. specific to your firm
  • Deadline rules — automated calculation of deadlines based on triggering events
  • Workflow rules — automated reactions to events in the system
  • Document templates — reusable templates with merge fields
  • Leave policies & public holidays — for HR
  • Expense categories — for time & billing

Data isolation, in plain terms

  • Your users can only sign in through your firm's subdomain.
  • Every query, every report, every search is filtered to your firm automatically. There is no "cross-firm" view.
  • Uploaded files (documents, avatars, logos) are stored against your firm and only served to your firm's users.
