Front Desk Executive

The front desk is the face of the firm. ProGuard Legal has a dedicated Front Office module for everything that happens at reception.
Your daily work
Visitors
Under Front Office → Visitors, log everyone who walks in:
- Add visitor — name, phone, purpose, visit category, host (the employee they're here to see)
- Check in — records arrival time
- Check out — records departure time
The host employee is notified when their visitor arrives.
Visitor categories (e.g. Client, Courier, Vendor, Interview) are configured under Front Office → Visit Categories — usually by an administrator.
Dispatches
Under Front Office → Dispatches, log every outgoing delivery: couriered documents, letters, service of process. Record recipient, sender, tracking info, and status.
Reservations
Under Front Office → Reservations, manage bookings of meeting rooms, parking spots, or any other reservable office resource:
- Pick the office area (meeting rooms, etc. — configured under
Front Office → Office Areas) - Choose the time slot
- Book it for the person requesting
CRM involvement
If you also have crm_worker, you can read prospects, leads and contacts — useful when someone walks in asking about a case you've never heard of. You won't be able to create new clients yourself; pass that to an account manager.
Tips
- Always check visitors out. The visitor log is also a safety record — who's in the building.
- Keep visit categories tidy. If you notice a pattern that doesn't fit any category, ask an administrator to add one.
- Flag unannounced visits to the host immediately through notifications.
